Privacy Policy

1. Introduction

Bindific is a registered trade name (DBA) of BrandAid, Inc., a Florida Corporation (“we,” “us,” or “our”) and is committed to protecting the privacy of our users (“you” or “User”) and the clients they serve. This Privacy Policy explains how we collect, use, store, and delete information in connection with our web application and services. By using Bindific, you agree to the practices described in this policy.

2. Who We Are

Bindific is a software-as-a-service (SaaS) platform designed for licensed insurance agents and agencies. Our platform assists agents in generating AI-powered video scripts and automated follow-up email campaigns to help convert prospective clients into booked appointments.

3. Information We Collect

We may collect the following types of information when you use our platform:

  • Account information: Your name, email address, and agency or business name when you register.
  • Subscription and billing information: Plan selection and payment processing data (handled by a third-party payment processor; we do not store full credit card numbers).
  • Uploaded documents: PDFs, images, or policy-related documents uploaded to generate AI scripts.
  • Client contact data: Names and email addresses of your clients, provided by you for the purpose of running email campaigns on your behalf.
  • Google Calendar data (optional): If you choose to connect your Google Calendar, your calendar availability and event information, accessed via Google's authorization so our scheduling assistant can book appointments on your behalf. See Section 7.
  • Usage data: Log data, browser type, IP address, and how you interact with the platform.

4. How We Use Your Information

  • To generate AI-powered video scripts based on the documents you upload.
  • To send automated follow-up email campaigns on your behalf to your prospective clients.
  • To book client appointments on your connected Google Calendar, if you enable that integration.
  • To manage your account, subscription, and billing.
  • To improve and maintain our platform.
  • To communicate with you about your account or our services.

5. Document Upload and Hard Delete Policy

Bindific takes document privacy seriously. Any documents, PDFs, or images you upload to our platform for the purpose of generating AI scripts are subject to our Hard Delete Policy:

  • Uploaded files are used solely to generate your AI video script.
  • All uploaded documents are permanently and irreversibly deleted from our servers within seconds of the AI script being successfully generated.
  • We do not retain, archive, analyze, or share your uploaded documents for any other purpose.
  • This policy applies to all document uploads regardless of file type or content.

This hard delete process is designed to protect the privacy of you and your clients and to minimize our data storage footprint.

6. Email Campaigns Sent on Your Behalf

Bindific provides automated email campaign services that are sent on behalf of you, the agent or agency. Please note:

  • All email campaigns are sent on your behalf and represent your business communications, not Bindific's.
  • The purpose of these emails is to follow up with prospective clients and encourage them to book an appointment with you.
  • We do not use your clients' email addresses for our own marketing or share them with third parties.
  • Once a prospective client has booked an appointment, our email campaign system ceases further follow-up communications for that individual.
  • All campaigns are conducted in compliance with the CAN-SPAM Act, including providing recipients with a clear ability to opt out of future communications.

7. Google Calendar Integration

Bindific offers an optional integration with Google Calendar so that the in-app AI scheduling assistant can automatically book client appointments directly onto your calendar. This feature is entirely optional and is enabled only if you choose to connect your Google account.

  • You authorize the connection through Google's standard OAuth consent screen, and you may decline or disconnect at any time.
  • What we access: when connected, we request permission to view your calendar availability and to create, view, and edit calendar events on your behalf — solely so the scheduling assistant can find open times and add the appointments your clients book.
  • How we use it: we use this Google Calendar data only to provide the appointment-scheduling feature. We do not read, store, sell, or use the contents of your calendar events for advertising, for training AI/ML models, or for any purpose unrelated to scheduling.
  • Limited Use: Bindific's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
  • Revoking access: you can disconnect Google Calendar at any time from your Bindific settings, or by removing Bindific's access in your Google Account permissions. When you disconnect, we stop accessing your calendar and delete the stored authorization tokens.

8. Data We Do Not Collect

Bindific does not collect or store:

  • Protected Health Information (PHI) as defined under HIPAA. While we serve insurance agents, our platform is not a covered entity under HIPAA and is not designed to handle health-related data.
  • Social Security numbers or government-issued identification numbers.
  • Detailed financial or medical information about your clients.

If you believe any data of this nature has been inadvertently included in uploaded documents, please contact us immediately.

9. Data Sharing

We do not sell your data or your clients' data to third parties. We may share data only in the following limited circumstances:

  • Service providers: Third-party vendors who assist in operating our platform (e.g., email delivery, payment processing), bound by confidentiality agreements.
  • Legal compliance: If required by law, regulation, or valid legal process.
  • Business transfer: In the event of a merger, acquisition, or sale of assets, your data may be transferred with appropriate notice to you.

10. Data Security

We implement industry-standard technical and organizational measures to protect your data from unauthorized access, disclosure, or loss. However, no system is completely secure, and we cannot guarantee absolute security.

11. Data Retention

Uploaded documents are deleted immediately after script generation as described in Section 5. Account information and client contact data used for email campaigns are retained for as long as your account remains active or as needed to provide services. Google Calendar authorization tokens are retained only while the integration is connected and are deleted when you disconnect it. You may request deletion of your account data at any time by contacting us.

Depending on your location, you may have rights regarding your personal data, including the right to access, correct, or delete your information. To exercise these rights, please contact us at the information below.

13. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new policy on our platform with an updated effective date.
